The most common mistake: the auto-reply that says nothing

Many businesses handle nights with an automatic message like:

"Thanks for reaching out. Our business hours are Monday to Friday, 9 AM to 6 PM. We'll get back to you as soon as possible."

It's better than nothing, but it has one problem: it doesn't answer the question. The customer asked about stock or shipping costs, and got opening hours. To them, it's almost the same as getting no reply, so they often keep looking.

What to reply at night and on weekends

A good after-hours reply has three parts:

  1. It answers what can be answered. None of the basics need a person: hours, shipping, payment methods, return policies, prices and stock. If the information exists, it can be given at 11 PM just like at 11 AM.

  2. It's honest about what can't be solved right now. A reply like "Someone on the team needs to check that: we'll confirm tomorrow before 10 AM" builds trust. "As soon as possible", on the other hand, tells the customer nothing.

  3. It leaves a next step. It can be a link to buy online, a booking or an appointment, so the customer can move forward even if you're not there.

An example makes the difference clear. Someone writes on a Saturday night: "Do you have the black hoodie in M?"

  • Generic reply: "Thanks for your message, we'll get back to you on Monday."

  • Useful reply: "Hi! Yes, we have it in M. You can buy it now from this link and we'll ship it first thing Monday."

The second one sells on a Saturday night. The first one probably won't.

What to promise and what not to

At night, it's tempting to overpromise so you don't lose the customer. It helps to have clear rules:

  • Yes: let the customer know their message arrived and won't get lost.

  • No: confirm exceptions ("we'll give you a discount", "we'll ship it today") that someone on the team may not be able to keep.
